How to compare car-import quotes without overlooking costs

A useful comparison starts with the same vehicle, destination and defined service scope. Separate confirmed amounts, estimates and unresolved items; never treat the unknown as zero.

What matters

Before deciding, confirm who sells the car, who will receive payment and what each service includes. Check the applicable tax treatment and document requirements for that vehicle with the responsible authority or professional.

Set the scope before comparing figures

Two quotes are comparable only if they start with the same vehicle and end at the same point. Record the listing or VIN, the car’s current location, its destination in Spain, and what each proposal means by “delivered”: to an address, to a storage site, or ready for a specified administrative step. A proposal that covers sourcing alone is not equivalent to one that includes transport, even if the first headline figure looks much lower.

Ask each provider to distinguish the car’s price, included services, optional services and excluded tasks. For every amount, note the currency, any stated validity date, who charges it and whether it is confirmed, estimated or pending. A blank line does not mean zero cost. If the vehicle or scope changes, ask for a revised proposal rather than trying to adjust the total in your head.

Check that the vehicle and sale terms are comparable

Keep a copy of the listing and request the available details that identify the specific car: version, engine, model year, stated mileage, equipment, location and documents. Check that these details match across all proposals. Ask the seller to identify known damage, repairs, tyres, maintenance and any relevant sale conditions; do not assume the asking price includes work the seller has not confirmed.

Before reserving or paying, identify and verify the contractual seller and the beneficiary of any transfer. Request a proposal or invoice that explains the amount, currency, payment purpose and terms, and the relationship between the seller and payee. If a platform or intermediary is involved, ask what its role is and who is responsible for each service. Do not send money based only on a trading name, listing or unverified bank account. Autohaus Zephyr may provide sourcing and intermediation; it is not the seller, importer or guarantor of every vehicle.

Break down the costs and avoid double-counting

Build a spreadsheet with one row per item and columns for amount, currency, responsible party, status and supporting evidence. Separate the purchase price, inspection or travel, collection, transport, technical documents, ITV, registration, taxes and fees, service charges and known work. Add a line for costs that have not yet been determined, but do not invent an amount to fill it. Request quotes from third parties when the scope or price depends on an external provider.

Check what each figure means before adding it. A price may already include a service listed on another line; an inspection may be visual only, without testing or a report, and document handling does not necessarily include submitting a registration application. Ask what each service delivers, where the provider’s responsibility starts and ends, and which expenses remain excluded. If you cannot explain a line in one sentence, it is not defined well enough to compare.

Confirm tax treatment and documents separately

Do not calculate tax from a label in a listing or assume that VAT is recoverable or always handled in the same way. Treatment may depend, among other factors, on whether the vehicle qualifies as new or used and on who sells it. Ask the seller to document the price and proposed treatment, then confirm the specific transaction with the tax authority or professional handling it. The European Union guide explains general distinctions; it does not determine the tax treatment of an individual purchase.

Also list the available and outstanding documents: the contract or invoice, foreign registration papers and technical vehicle documents, if available. Ask who will check that they are sufficient for the intended process and what information is missing before you commit. For registration of a vehicle from within the EU, check the current steps and requirements with Spain’s DGT and confirm with the ITV or relevant professional how they apply to that vehicle. Do not treat an estimate for administrative work as a guarantee that an application will be accepted.

Separate confirmed transport from unresolved variables

Request the exact collection and delivery points, transport method, who arranges it and what the quoted amount includes—for example, collection, transport and delivery. Ask which conditions could change the amount, when the final figure will be known and who must approve an additional expense. If a proposal involves driving the car on public roads, confirm in writing who handles plates or insurance, where applicable; do not assume these are included unless they are specified.

Classify each variable item as “awaiting quote”, “subject to inspection”, “dependent on documents” or “excluded”. Then ask what next step will resolve it, who must take that step and what evidence you will receive. A pending charge that depends on unavailable documents calls for a different decision from a service that has already been quoted. If the seller, transport provider or responsible authority has not confirmed an amount or requirement, keep that uncertainty visible instead of hiding it in a deceptively precise total.

Compare with a genuinely equivalent car in Spain

Look for Spanish-market references with comparable engine, version, year, mileage and equipment. Record differences that affect cost or practical value: stated condition, outstanding work, documents and services included in the local offer. Do not compare a foreign listing price with a Spanish price that already includes preparation or delivery without acknowledging the difference. If you can find only dissimilar cars, explain the qualitative adjustment and do not present the comparison as exact.

Calculate two totals, not one: known costs, and known costs plus unresolved items shown separately. Do not use an invented contingency as if it were an actual fee. Ask what happens if transport, paperwork or outstanding repairs change the result, and what you would decide if that extra cost is confirmed. If one open item could erase the advantage, the comparison does not yet support a reservation. Value may also lie in a configuration that is hard to find; keep that personal preference separate from a demonstrated saving.

Resolve open questions before making a commitment

Before authorising a reservation, write down the vehicle, seller, payment beneficiary, destination, confirmed items, pending items and conditions for cancelling or proceeding. Recheck the identities of the seller and beneficiary before paying—never leave that verification until after reserving. Ask who receives and holds the money, what document proves payment and what happens if the transaction does not proceed. Do not assume a refund, protection or warranty unless it is confirmed for that agreement.

The practical next step is to request specific answers for open items and send the vehicle documents to whoever must validate the process. Keep proposals, messages and invoices together; update your calculation if the car or scope changes. If you are assessing an import from Germany, you can request an initial review from Autohaus Zephyr based on the information available. This is a sourcing and intermediation service: the seller and payment beneficiary must be verified before any payment, while transport, inspection, warranty and tax treatment depend on the case and confirmed agreements.

Questions answered

What if a quote does not break down taxes?

Do not assume they are included or add a generic figure. Ask the seller to document the price and proposed tax treatment, then confirm how it applies to that vehicle with the tax authority or professional handling the transaction. The EU guide provides general guidance, not a tax assessment for your purchase. [0]

Can I reserve while documents or transport costs are still outstanding?

You can assess that commitment only if its terms are in writing and you know who sells the car, who receives the money and what happens if the transaction stops. Verify seller and beneficiary before reserving or paying. Keep unresolved costs marked as pending and request the document or quote needed to settle them; do not replace them with zero.

Which source confirms the requirements for registering the car?

Consult the DGT information on vehicles from within the EU and check the requirements for the specific vehicle with the ITV or professional handling the application. Available documents and the car’s circumstances may affect what must be submitted; a service proposal alone cannot guarantee registration will be accepted. [1]

A reliable comparison is not simply the one with the lowest total. It makes clear which car is being bought, who receives payment, what each service figure covers and which questions remain open. Get those answers first, confirm tax and administrative requirements for the specific vehicle, and recalculate if the scope changes. If an important uncertainty cannot be resolved before you commit money, treat it as a reason to pause, not as an irrelevant cost.
